INTERNAL - Webcasts - How do I prepare a Customer for their educational webcast?

Follow the steps provided to prepare your Customer for their educational webcast.

Step 1: Schedule the webcast.

Once a Customer has determined the webcast topic, schedule the webcast using the the steps provided in the article How Do I Schedule a Webcast?

Step 2: Send the Customer the title-specific webcast marketing template in HubSpot.

The template includes a description of the Webcast, a webcast outline, and an email template. The Customer can share these documents with their team and anyone invited to the webcast.

Step 3: Send the Customer the marketing materials for their webcast.

Each webcast should have an email template, a pdf description image, and an email image. You may also send the Webcast Team Members and Webcast Registration documents to answer many of their questions. 

Step 4: Schedule a panelist prep meeting (if requested).

Approximately 5 weeks out from the webcast date, schedule a panelist prep meeting (if the Customer feels necessary) and email the HubSpot webcast-specific panelist prep template to your Customer. This includes: the webcast agenda, the webcast outline, panelist prep questions, and the Webcast Team Members.

These templates may be forwarded from your email account; please ensure you're including the correct webcast title when forwarding these documents.

Invite the following people to the panelist prep meeting:

  • Point of Contact
  • Panelist (if different than POC)

Note: The presenter does not need to be included in the prep. See How to Run a Panelist Prep Meeting

Step 5: Ensure your POC and panelists have received the Teams link to their webcast.

Approximately 2 weeks before the webcast, please make sure your POC and panelists have received their Teams link (or you have received their platform link).

Step 6: Send your POC and panelist the webcast agenda 1 week before the webcast.
