INTERNAL - WEBCASTS - What webcast features are offered by the Zoom Communications platform?

All BOB-hosted webcasts use the Zoom Communications platform.

All BOB-hosted webcasts use the Zoom Communication platform. If a client wishes to use their own platform, please review Best Practices for Client Hosting Webcasts.   

Admin Features:

  • Webcast Pre-Session Waiting Room: Practice room before webcast start allows panelists and BOB team to check equipment and review the run of show.
    • Attendees do not enter the webcast until the broadcast has been started by the presenter or moderator.

Attendee Features:

  • # of Attendees: Up to 3,000 attendees (including panelists and hosts). We can exceed 3,000 if we alert zoom and pay an upcharge.
  • Attendee Registration: Pre-registration is not required.
    • All attendees will be required to register before entering the webcast. This allows BOB to capture attendance information for follow-up.
    • Attendees may register (join) the webcast throughout the session.
    • Webcast reminders are sent to panelists, and PRE-REGISTERED attendees. 
  • Attendee Participation: BOB uses the polling questions and the Q&A box to allow attendees to participate.
Polling Questions: Always anonymous but may be visible if client desires.
    • Q&A Box: Where attendees submit questions and comments.
      • Attendees are not able to see private questions or comments in the Q&A box.
        • Standard BOB practice is to answer each privately.
      • Attendees can remain anonymous if they choose, BUT attendees ARE able to see ANSWERED anonymous questions and answers.
        • Clients may choose to not allow Anonymous questions to ensure all Q&A remain unseen to the attendees. (The setting default is to allow anonymous questions.)
      • The Moderator will bring up the questions at appropriate times.
      • Not all questions will be answered during the broadcast.
      • Client can receive unanswered questions in reporting.
    • Chat Box: Typically closed by BOB to allow attendees to focus on content.
      • Handout will be located in the chat box as a link for PDF.
  • Attendee Audio/Video: All attendees are muted with no video capabilities.

Post-Session Features:

  • Post-Session Surveys: Clients have two options:
    • The survey may be given to attendees as soon as the broadcast ends (receives best results)
    • Client may choose a date to send the survey in a follow-up email (this is the only time we send a follow-up email).
  • Webcast Recording: Automatically recorded by Zoom Communications, with a copy available for the client.
  • Reporting: Able to produce various reports before and after webcasts.
    • The reports include:
      • Registrants (before webcast)
      • Attendance
      • Q&A
      • Polls
      • Survey
    • If a report is needed that does not already have an Asana task, assign one to the Webcast Manager.
